Job Overview 

The Study Centre Coordinator is a key member of the CAPA London team as this person is typically the first-person visitors to our busy London study centre encounter. The Study Centre Coordinator is a cross-functional position, responsible for several important administrative and centre management tasks, interacting with students, faculty, and all teams in the organization.  

 

The successful candidate will manage the position confidently and competently and be the glue that keeps our organization running well. This is a multi-faceted role for anyone interested in developing their experience in both office management and student services in the exciting and rewarding field of international education. 

 

Responsibilities and Duties 

Study centre management 

  • Organize and coordinate centre operationsprocedures and protocols 
  • Opening the centre Monday – Friday and ensuring it is ready for the day’s students  
  • Maintain the general upkeep and overall appearance of the premises 
  • Carry out routine checks to attend to general facilities issues, and to ensure safety and security 
  • Liaise with CAPA’s building contractor regarding ongoing building-related projects 
  • Liaise with CAPA’s facilities suppliers to book regular service visits and ad hoc maintenance; maintaining a calendar of all facilities appointments 
  • Review services with suppliers on a regular basis to ensure suitability and value for money 
  • Undertaking any other duties that may be required to maintain the smooth running and appearance of the CAPA facilities  

 

Student and Faculty Support 

  • Staff the front desk and manage front desk rota 
  • Assist students and faculty with questions, referring them to appropriate staff members or external assistance as needed 

 

Office Administration 

  • Manage centre calendars (for teams and meeting rooms) 
  • Maintaining office supplies for centre and all staff 
  • Support the Program and Student Services, Internship, and Academic teams as needed  

 

Hospitality and Events 

  • Greeting visitors and guests 
  • Setting up for receptions/events at the study centre, such as important client visits and on-site conferences 
  • Purchasing food, drinks, and other supplies for events 
  • Ensuring rooms are booked and arranged appropriately for events  
  • Responding to unexpected changes or issues regarding events 

 

Other 

  • Participating in weekly cross-departmental meetings focusing on program updates, scheduling and staffing. 
  • Cross training with other front desk staff and departments to provide cover and support as needed. 
  • During busy times, this role will line-manage an evening Study Centre Assistant role 
  • Other tasks as outlined by the Director of Program & Student Services 

 

Skills and Experience 

Required  

  • The legal right to work in the UK 
  • Proven experience working in a professional environment 
  • High standard of customer service and a passion for working with people 
  • Strong attention to detail and superior organisational and problem-solving skills 
  • Ability to assess and carry out basic maintenance tasks (specialist tasks are referred externally); must be practical 
  • Ability to stay calm under pressure and handle difficult situations 
  • Great team player 
  • High proficiency in technology and Microsoft applications 
  • An eye for aesthetics and an ability to keep an environment tidy, organised and looking its best  
  • Enthusiastic and passionate 

 Preferred 

  • Experience working with students  
  • Knowledge of the US education system a plus 

 

Hours 

7.5 working hours per day between 08:00 – 16:30 Monday to Friday. This position is expected to work all bank holidays that the centre is open with time in lieu. Attendance at evening activities may be required from time to time.
