Hybrid position based in the CAPA Boston office, with the option to work from home part of the week 


Job Overview 

CAPA seeks a focused and detail-oriented Billing Specialist to manage our student and university accounts. This is an exciting opportunity for results-driven and patient person who enjoys the pairing of internal and external customer centric work with numbers and the processing of financial information. 


Responsibilities and Duties 

Billing Duties:  

  • Manage the full lifecycle of university and student program fees, including creating and sending invoicestracking paymentscommunicating with parties regarding their outstanding payments, and sending receipt of payment.  
  • Work in close collaboration with Program Management Team  
  • Provide financial aid information to students and establish payment plans when needed   
  • Communicate with students and universities with past due payments 
  • Maintain updated tracking system to record communications and billing/collection process, creating weekly status report 
  • Answer and address university/student inquiries and issues in a timely manner 
  • Prepare checks for deposit, create deposit report, and make bank deposit daily 
  • Monitor WIRE payment, credit card payments, and update tracker and NetSuite for payment received daily  
  • Bill for housing deposit via credit card and process refundable housing deposit upon program completion  
  • Refund credit request on a weekly basis and update NetSuite for refunds 
  • Nurture and maintain positive relationships with students and universities  


Other Duties: 

  • Responsible for drafting and collecting all payment agreements from students 
  • Collect and update tracker for Financial Aid Disbursement Forms 
  • Contact university financial aid offices to determine flexibility of disbursement date 
  • Contact students for gap payment to collect postdated checks 
  • Mail checks once signature is approved and file related paperwork weekly 



  • Bachelor’s degree or equivalent work experience  
  • Exceptional customer service experience (internal and external) 
  • High degree of attention to detail and trustworthiness 
  • Excellent verbal and written communication skills 
  • Ability to successfully manage multiple projects and work under tight deadlineswith a flexible approach to meet the needs of the business  
  • An interest in continuous improvement 
  • Ability to work independently as well as across departments 
  • Demonstrate professional discretion with confidential information 
  • Proficiency with Microsoft Office  
  • Experience with NetSuite is highly desired
